Access Services Division Head

Position Summary: The Access Services Division Head plans, organizes, and directs access services operations – circulation, interlibrary loan, document delivery, stack management, and inventory.  Responsible for setting goals and planning for their implementation and assessment, evaluating new services and technologies, personnel management, and budgeting for the division.  Responsible for the overall progress and quality of support offered by the units in the division, for providing leadership in the units’ continued development, and contributing leadership to the development of the library as a whole.

Supervision Received: Reports to the Director of Library Services.

Supervision Exercised: Supervises all Access Services Division professional and support staff.  

Detailed Statement of Responsibilities:

  1. Conducts workflow analyses, evaluates staffing and training needs, encourages teamwork, and organizes division personnel in a collective bargaining environment.
  2. Assesses needs, prepares budget requests and justifications, and monitors spending of division operating funds.
  3. Responsible for qualitative and quantitative data collection and analysis in assessing and evaluating access services, and using this data to design new services and policies.
  4. Oversees public spaces in the library building to ensure that they are appropriately equipped, maintained, and utilized; monitors the library’s adherence to ADA guidelines, safety and security standards, and other facilities regulations.
  5. Serves as a member of the Library Advisory Council, advising the Director of Library Services on access service issues and contributing to the overall evaluation and development of library services.
  6. Develops and maintains written policies and procedures, prepares regular reports, and responds to inquiries, surveys, and questionnaires related to division activities.

Special Collections Librarian

Position Summary: The Special Collections Librarian develops, organizes, manages, promotes, and provides reference and research services for special collections and university archival material.  Special collections currently include the Carolyn Sherwin Bailey Historical Collection of Children’s Books, a Connecticut history collection, and a small collection of rare books and manuscripts.   Administers the Library’s preservation program for general and special collections.  Plans and coordinates exhibits highlighting the Library’s collections and services.    

Supervision Received:   Initially reports to the Director of Library Services.  Upon approval of plans for the development of the Special Collections and Archives unit, the incumbent will report to one of the Library’s Division Heads. 

Supervision Exercised:  May supervise student employees, as needed.

Detailed Statement of Responsibilities:

  1. Formulates, administers, and evaluates policies and procedures related to the acquisition, arrangement, description and preservation of archives and special collections.
  2. Provides reference assistance and instructional support for those persons seeking to use the collections; participates in general library orientations and tours.
  3. Develops and maintains written policies and procedures, prepares regular reports, and responds to inquiries, surveys, and questionnaires related to special collections and archives activities.
  4. Works closely with faculty in the Library and the University to acquire special collections that support the University’s curricular and research needs; assists the Collection Development Librarian in evaluating gift materials.
  5. Develops programs and publicity that promote knowledge of and use of special collections and archives among campus, local, and other scholarly communities.
  6. Develops new finding aids on the world wide web for special collections and archives; updates existing web information as needed.
  7. Works in close cooperation with the cataloging department to insure that special collections materials are accurately described in the library catalog.
  8. Administers the preservation program for the general and special collections.
  9. Plans and coordinates exhibits that highlight the Library’s collections and services.
  10. Participates in the records management efforts of the University; develops short- and long-range plans for the development of the University Archives.
  11. Works closely with the director in grant writing and fundraising efforts; seeks outside support for special projects; writes grant proposals and manages grants.

Instruction Coordinator

Position Summary: The Instruction Coordinator provides the leadership, direction, and planning required for a creative and effective library instruction program, integrating the use of both print and electronic sources into the curriculum. Responsible for coordinating, delivering, and evaluating the library instruction program.  

Supervision Received:  Reports to the Information Services Division Head.

Supervision Exercised:  Exercises functional supervision of support staff and student assistants as necessary.

Detailed Statement of Responsibilities:

1.      Coordinates library orientation, course-related  instruction, and information literacy support to the academic community; conducts needs assessment and evaluations of the instruction program.

2.      Leads the instructional services team in formulating goals, developing policies and procedures, scheduling, and planning.

3.      Works with classroom faculty to integrate information resources in the university instruction program.

4.      Collaborates with university staff and librarians in support of distance education programs and Internet courses.

5.      Provides pedagogical development and training for librarians; organizes and facilitates training for library staff in uses of library technology and desktop applications; serves as a resource for library colleagues participating in instruction.

6.      Develops effective outreach and publicity for the instruction program.

7.      Coordinates use and maintenance of instruction facilities.

8.      Develops computer-assisted instructional and promotional materials, including web pages; assists with web page maintenance.

Electronic Resources Coordinator

Position Summary: The Electronic Resources Coordinator will provide reference service in a cooperative centralized reference environment and coordinate the overall development and plan of the Buley Library web site.  In addition, the Electronic Resources Coordinator will coordinate the evaluation and acquisition of electronic resources for the Library and lead the Library's web team.  The Electronic Resources Coordinator will participate in the Library's instruction program, create instructional materials, and participate in collection development in areas as assigned.

Supervision Received: Reports to the Information Services Division Head.

Supervision Exercised: Exercises functional supervision of support staff and student assistants as necessary.

Detailed Statement of Responsibilities:

  1. Participates in reference service 10-15 hours per week at the Reference Desk.
  2. Leads the Buley Library web team to develop and plan the Library's web site.
  3. In coordination with the web team, is responsible for the creation of guidelines, content, and design of the Library's web pages.
  4. Coordinates the evaluation and acquisition of electronic resources for Buley Library.
  5. Develops user guides and instructional materials as needed.
  6. Oversees maintenance of web pages, including fixing broken links, updating the database URLs, and helping librarians create and maintain pages.
  7. Works in collaboration with the Systems Librarian regarding technical support of the Library's web pages and maintenance of the hardware and software necessary for the electronic resources of the Library.
  8. Investigates and incorporates emerging instructional technologies.
  9. Participates in library and university-wide activities.

Business Reference Librarian

Position Summary: The Business Reference Librarian will provide reference service in a cooperative centralized reference environment, as well as specialized reference services for the School of Business faculty and students.  The Business Reference Librarian will serve as liaison with the SCSU School of Business, developing the Library's collections in these areas.  The Business Reference Librarian provides general and subject-specific instruction, and creates instructional materials and web pages in the areas of accounting, management, marketing, economics, finance, and management information systems. 

Supervision Received: Reports to the Information Services Division Head.

Supervision Exercised: Exercises functional supervision of support staff and student assistants as necessary.

  1. Participates in reference service 10-15 hours per week at the Reference Desk.
  2. Acts as liaison between Buley Library and the SCSU School of Business.
  3. Provides specialized reference services for the faculty and students of the School of Business.
  4. Promotes and provides library user education in support of business courses, and in other disciplines as needed.
  5. Develops user guides and instructional materials as needed.
  6. Creates appropriate web pages for the Buley Library web site.
  7. Develops the Library's collections in the fields of accounting, management, marketing, economics, and finance, including print and online resources.
  8. Participates in library and university-wide activities.

Library Technical Assistant – Evening Circulation Supervisor

General Description: Supervises evening operations of the circulation desk, the periodicals information desk, and stack maintenance activities. Performs related duties as assigned.  The work schedule is Sunday through Thursday evenings, subject to change during the summer session, semester breaks and exam periods.

Supervision Received:  Works under the general supervision of the Circulation Librarian.

Supervision Exercised:  Exercises functional supervision over 3 to 5 student library assistants.

Detailed Statement of Duties and Responsibilities:

  1. Charges, renews, and discharges library materials using manual and automated systems.
  2. Determines shelving arrangements for library materials; supervises shelving of books and other library materials; monitors proper arrangement of materials.
  3. Assists in the coordination of student assistants, including training, daily scheduling, and  maintenance of time sheets.
  4. Shares in the responsibility of processing money received from overdue fines and various fees.
  5. Assists patrons in locating library materials, searches library for missing materials, retrieves material as requested.
  6.  Processes reserve materials according to established procedures.
  7. Directs users to  appropriate areas of the library, handles questions and complaints, and deals tactfully with library patrons.
  8. Assists in opening and/or closing the library building.
  9. Performs related duties such as typing various reports, operating photocopiers and microform reader printers, locating and filing materials, enforcing library policies, packaging books and materials for shipping, processing mail and answering phones, etc.

General Description:  Provides general clerical support for reference and instruction functions.  Supervises operations of the circulation desk, the periodicals information desk, and stack maintenance on Saturdays, and at other times as needed.  The normal work schedule is Tuesday through Saturday, subject to change during summer session, semester breaks, and exam periods.

Supervision Received: Works under the general supervision of the Information Services Division Head.

Supervision Exercised:  Exercises functional supervision over 3 to 5 student library assistants.

Detailed Statement of Duties and Responsibilities:

  1. Assists in reference collection development, checking holdings, monitoring orders, maintaining budget records, and confirming accuracy of cataloging records when materials are received.
  2. Shelves and files reference materials; maintains proper arrangement of materials.
  3. Assists in the hiring and supervision of student assistants, including training, daily scheduling, and maintenance of time sheets.
  4. Assists in scheduling library instruction sessions, maintaining calendars, confirming classes, and preparing instructional materials.
  5. Assists in processing government documents – receiving, checking in, and de-accessioning depository materials.
  6. Directs users to appropriate areas of the library, handles questions and complaints, and deals tactfully with library patrons.
